The practical answer

Set the acknowledgment clock from the event required by the vehicle's reporting route: the sale date for box 4a, or the contribution date for box 5a or 5b. Gather the corresponding certification and furnishing evidence, while tracking annual IRS filing as a separate obligation.

A vehicle donation acknowledgment can be due well before the charity's annual information-return filing. This practical workflow follows the current November 2019 continuous-use Form 1098-C instructions and the 2026 general reporting instructions, checked September 5, 2026. Its fictional dates illustrate 2026 donations with claimed values above $500 and complete donor identification.

Choose the event that starts the 30-day period

The IRS acknowledgment instructions require furnishing no later than 30 days after the sale date when box 4a applies. When box 5a or 5b applies, the period runs from the contribution date. That difference belongs in the intake process, because a planned charitable-use vehicle cannot wait for an eventual sale before staff consider acknowledgment timing.

Record the receipt date immediately and classify the intended disposition with the program or vehicle team. For a sale-route vehicle, add a task to capture the actual sale promptly. For a use, improvement or qualifying needy-individual transfer, route the intended certification for review as soon as the contribution is received. Do not select a later trigger merely because documents are difficult to obtain.

Build the acknowledgment from the required facts

For a qualified vehicle with a claimed value above $500, provide Copies B and C of Form 1098-C or an acknowledgment containing the required information. Connect the donor identity, vehicle identity and receipt date to the intake file. Add the sale facts or intended-use certification applicable to the vehicle, and review whether goods or services were provided in exchange.

Box 5c requires a detailed description of the intended improvement or use and its duration. A generic sentence about supporting the charity's mission does not communicate those facts. If goods or services were provided, obtain the required description and good-faith valuation information, including promised benefits in another year. Use the individual box instructions as the field checklist instead of copying an old thank-you letter that may omit a certification.

Worked example: the same receipt date produces different clocks

Fictional example: a charity receives vehicles A and B on June 2, 2026. Vehicle A follows the ordinary unrelated-party sale route and sells July 1. Vehicle B is assigned to intended significant charitable use that supports box 5a. Both have complete donor information.

Vehicle A's receipt date remains June 2 in the contribution record, even though its acknowledgment clock follows the July sale. Vehicle B's clock does not move to the end of its planned use. The example separates event dates; it is not permission to delay furnishing when the acknowledgment can be completed earlier. Put the trigger document beside the calculated date so a reviewer can reproduce the timing.

Handle incomplete donor or disposition information explicitly

A missing donor TIN has a specific consequence under the Form 1098-C instructions: check box 7, do not file Copy A and do not furnish Copy B. The acknowledgment then does not meet the requirements for a deduction above $500. Do not fill the field with a placeholder or another household member's number. Request the correct information through the charity's protected collection process and route the case for the required treatment.

A claimed vehicle value of $500 or less also has separate box 7 and Copy C rules. Keep these cases apart from the ordinary above-$500 production queue. If a sale contractor has not supplied the sale date or gross proceeds, seek that evidence immediately. An internal deadline extension or an incomplete thank-you email does not establish that the statutory acknowledgment requirement was met.

Record what was furnished and when

Save the exact acknowledgment version, recipient address or approved delivery destination, furnishing date and corresponding delivery record. If a mail item is returned or an electronic delivery fails, retain that event and follow up through the charity's established process. Distinguish preparation, approval and furnishing dates: generating a PDF in a shared folder does not establish that the donor received or was furnished the required statement.

When staff resend an unchanged acknowledgment, identify it as a replacement copy in the case notes. When facts change, preserve both versions and refer the issue for correction review. An unsupported certification should not persist merely because a donor already received it. Use the vehicle reference to connect every communication and version to the original contribution.

Keep annual IRS filing on a separate calendar

The acknowledgment's event-based 30-day period and the charity's information-return filing obligations are different tasks. Use the applicable year's General Instructions for Certain Information Returns for IRS filing method, due dates and corrections. The continuous-use vehicle form does not remove the need to use the correct reporting year and current filing procedures.

Maintain separate statuses for donor furnishing and IRS submission. A furnished acknowledgment can still need inclusion in an annual filing batch; an IRS acceptance does not prove timely donor furnishing. At each weekly review, sort unfinished cases by their actual acknowledgment due date, then examine incomplete certification facts. At annual reconciliation, match every reportable vehicle to its donor statement and filing record without resetting the earlier furnishing history.

Common questions

Does the 30-day period always start when the car arrives?

No. It starts from the sale for the ordinary box 4a route, and from the contribution for box 5a or 5b. Record both event dates where relevant.

Can we wait until January to send all acknowledgments?

That does not satisfy an earlier event-based acknowledgment deadline. Run the vehicle acknowledgment queue during the year and keep annual filing tasks separate.

Is a thank-you email sufficient?

Only an acknowledgment containing the required information can serve the specified purpose. A generic thank-you message without the required vehicle facts and certifications does not establish compliance.

Can we furnish Copy B without the donor's TIN?

The instructions require box 7 when the TIN is missing and prohibit furnishing Copy B in that situation. Resolve the case through the charity's reporting process instead of substituting an invented number.

Does an IRS filing extension also extend this acknowledgment clock?

Do not treat an annual IRS filing extension as changing the vehicle acknowledgment's event-based requirement. Keep the two obligations and their evidence separate.
